3.3 Interim Meeting Discussion Points
6/6/17 1. Will the School Committee be moving into the main
Town Hall building? What space requirements will
they have?
6/14/17 - Issue will be discussed at meeting 6/21/17 Team
6/6/17 2. Will the DPW, Sewer, etc. be moved to the partially
vacant Water Department building?
6/14/17 - No, it is too remote and isolated for DPW to be Record
effective and have good public interaction.
6/6/17 3. What are the space needs of the vault archive,both for
high density storage as well as archivist workspace?
6/14/17 - Refer to Town Clerk for archival requirements Team

4.1 6/14/17 Programming
• The Director of the Highway Division does not require a
space in Town Hall since most of his work is done in the MKA
field with field crews. MKA will update program.
• Facilities director does not need to be located in Town Hall MKA
and can be relocated to another building, MKA will update
program.

• Custodial office can be reduced in size and does not need
to be located near DPW, MKA will update program. MKA
• The Town Manager has indicated that he would like to see
certain program items that regularly collaborate to be MKA
combined and shown as adjacent. MKA will update

1. Land Planning
Building Commissioner, Board of Health,
Conservation Commission, Future Full-time Planner,
Zoning Board of Appeals, (3)Part-Time Inspectors, (3)
Administrative Staff(7 Total Full-Time, 3 total part
time +ZBA), with one shared service counter and
conference room for the group.
2. DPW
DPW Director, Sewer, Procurement, and (2) interns
with one shared conference room for the group.
3. Financial
Town Accountant, Assistant Town Accountant,
Assessor and Staff, Treasurer/collector and Staff, with
one shared service counter and conference room for the
group.
• The Public Health nurse has a better functioning space in
the senior center and does not require office, exam room, MKA
or associated spaces in Town Hall. MKA will update
program.
• Outdoor seating and gathering space for staff breaks is
desired. Record
• All large meeting rooms should accommodate front of the
room seating for 7-9 board members,various boards of
different sizes will be using each meeting space. There MKA
should be no fixed seating in any meeting space. MKA
will update Program.
4.2 6/14/17 Town Clerk
• How do we deal with early voting? Is it another securable Team
space? To be reviewed at meeting with town clerk on 6/21

4.3 6/14/17 School Committee
• The School would like to reclaim the rooms currently used
by School Committee to be used as classrooms. Record
• 5 full time staff, 3 offices (Superintendent, Assistant
Superintendent, Business Manager), and one meeting
space may move to Town Hall if deemed appropriate. The Team
team will discuss options at 6/21 meeting.
4.4 6/14/17 Theater/Auditorium Discussion Points
• Square footage of the auditorium should be kept
approximately the same; however the bathroom scheme
from the 2008 report could work nicely, but would slightly Record
reduce the overall SF of the auditorium.
• Current uses of the Auditorium: Plays, Elections Record
• Proposed Uses of the Auditorium: Public Performance,
Professional Development, Training, Movies Record
• Proposed restored theater spaces should occupy the
existing square footage. Record
• Theater users require: running water, storage for
electronics, lighting, sound, etc., upgraded projector Record
equipment(drop-down projector)
• What are the theater's storage needs and how will they be
met? Where should the old unused stage props be stored Team
and how much of the basement should be assigned to the
theater for storage? The team will discuss at 6/12 meeting
• MKA will explore two design options -Projection room is MKA
used again for theater, as well as projection room is
combined with existing conference room to create larger
conference room.
4.5 6/14/17 LEED
• Some degree of LEED certification will be required for
public support. The goal should be to achieve the actual
certification with the associated display plaque rather than Record
to just design for LEED points and not apply to USGBC to
save on cost.

4.6 6/14/17 Funding
• The team needs to ID CPC eligible costs. Team

4.7 6/14/17 Tasks for Next Meeting
• Review data sheets and collect comments on the provided TOC
program information by week of 6/19
• MKA to consider square footages of Auditorium and MKA
theater spaces in calculations.
• MKA to provide meeting agendas, meeting minutes and MKA
powerpoints for public meetings
• Need to create narrative report to describe process so far Team
4.8 Schedule
6/6/17 • Design options should go out to the estimators by the end
of July so that the estimates could be back by mid-august MKA
6/14/17 • CPC funding should be pursued immediately following
cost estimates. Team
Next Meeting
The next meeting is June 21th at 8:00 - 10:00am; agenda will Team
include further review of the program.
