Meeting called to order, 6:00 pm
1. a. The minutes of the August 16, 2017 Trustees meeting were moved, voted and approved
unanimously.
2. Director's Report(Rafferty)
a. Jackie and the Trustees discussed the FY19 Capital Budget requests, which are due shortly.
One request that will be put in the pipeline is the replacement of the library's computers, in
keeping with the 5 year replacement cycle. Ron Menard will get pricing for a thin client
network which will connect all the computers to a main server that can be stored in a
remote location. Another possible submission would be for replacing the self-checkout
machine near the circulation desk and the older one in the Children's Room. Jackie
mentioned that Ron has requested pricing for the replacements and will determine if
another brand will be compatible with the 3M tags we are currently using. Jackie stated
that if only one machine is replaced, the cost will not meet the Capital Budget minimum but
can be paid for out of Technology funds. In addition,Jackie would like to consider asking for
the funds to install the Go Live system, which would allow recording and broadcasting of our
programs on the local public access channel remotely. The Rec. Department might also be
interested in installing the system in their part of the building. Steve asked if DVDs of the
programs could be made available to the public in the meantime. Jackie will speak to Don
Roine about it. Carolyn mentioned that building design funds are another future need that
should be on the committee's radar. This would include plans for the interior renovation,
the exterior entrance and the shared parking lot.
b. Jackie has joined a new MLS committee that will identify emerging online library resources.
c. Teen Intern Positions—Jason Conforti will be starting soon as the library's first Teen Tech
Intern. His salary will be paid out of South Shore Music Circus grant funds. In addition,
Madison Beach has been hired as the Teen Programming Intern. She is currently a page as
well as a TAB member. Her salary will be paid out of surplus funds gained by reducing
existing page hours. The library union has asked for bargaining rights to clarify the duties of
the position. A meeting has been scheduled for Friday with the union representative and
the Town Human Resource Officer.
d. In an effort to increase circulation and participation among younger patrons, new programs
are being offered, including a Newbery Book Award program.
e. Mike Lewis, a teacher at Deer Hill School, contacted Jackie to ask if the library would like to
collaborate with him on his efforts to loosen the current level of filtering in place at the
school. He felt this was hampering his ability to allow his students to fully use the internet
in their studies. Jackie agreed to let him use the Meeting Room for his plan to initiate a
community wide discussion about internet restrictions, but declined to involve the library in
the program.
f. Jackie shared printouts of four slides from the recent talk by Dr. Kassels. They show the
increase in opioid use and deaths in Massachusetts as well as in specific town in the area.
3. Financial Report/Bills Payable (Rafferty)
a. The outstanding bills were moved, seconded and approved unanimously.
b. There was a question about LinkedIn/Lynda.com and Carolyn asked if it could be marketed
more, perhaps on a banner on the website which could also highlight other resources that
are available.
4. Chair's Report (Coffey)
a. The next meeting will be held on Thursday, October 12 instead of Wednesday, October 11.
b. The Little Free Libraries that are being built by Eagle Scout candidate,Tommy Olson, will be
completed and installed soon.
c. Chris Senior and Public Safety have given the go ahead for the library to talk with Liz and Ted
from the Rec. Dept. to work out a plan to open the side driveway between the upper and
lower parking lots. The road will run one way from the upper to the lower lot.
d. Carolyn received a letter from the Register of Deeds offering to talk with the Trustees to
answer questions and share information. Elaine mentioned that she had attended a
previous meeting with them and found them to be helpful and informative. The Trustees
would like Gayle to set up a meeting and they would like to invite the Cohasset Conservation
Trust to attend.
e. Carolyn asked Jackie to request an update from Mark Kelly on the status of the ceiling paint
above the circulation area, the carpet cleaning and the roof tile repairs.
f. The quilt that was donated to the library should be hung in a prominent location near the
Children's Room where patrons can see it. Henry will be asked to move it from the Story
Room to the entrance to the Children's Room. Elaine also asked if the hanging rod could be
replaced with something better looking.
g. Sarah mentioned that the picture hanging system in the Meeting Room is failing and needs
to be replaced. It is unclear whether the library or the South Shore Art Center owns the
system and who would be responsible for replacing it.
h. Carolyn gave an update on the plans for the Town Hall renovation.
S. CLT Report (Brown)
a. The CLT had not met since the last meeting.
6. Friends Report (Patterson)
a. Jessica said that the Friends did not meet in September and they will discuss their budget at
the October meeting.
b. Elaine suggested that they add a "Donate" button to the website so that the public could
easily donate. Jessica will speak to the board about adding it.
7. Other
a. There was no other business to discuss.
Meeting adjourned at 6:58 pm.
